Symphony Profiler Processor and Worldox – Work Smarter, Not Harder

As offices and organizations continue the process of adaptation and reconfiguration as a result of the changes brought about by social-distance and safer-at-home orders, we are being forced to reevaluate processes and activities that were previously taken for granted. If you are a firm that deals with even a fraction of paperwork, you have probably come to realize the importance of digitizing these papers as efficiently as possible. Symphony Profiler from Trumpet Software, working in conjunction with Worldox GX4, can help streamline your workflow and reduce the amount of time spent wrangling loose paper.

The Symphony Profiler is a companion product to Worldox, that allows users to add automatically produced cover sheets to scan jobs, which coordinates with reservations created in Worldox to automatically profile scans and route them to their correct location with Worldox.

Let’s take a closer look at that process!

Once installed Symphony Profiler Workstation allows users to create a Reservation for a document in Worldox. This reservation simply enables the user to Save and Profile a scanned document in advance using unique cover sheets which Symphony Profiler reads, interprets, and then mates that scan with the Reservation.

In practice, this means that a single user can create Reservations for a stack of documents, all of which go to different cases or matters, separate the documents with the cover sheets generated by Symphony Profiler, and then scan the whole batch to the central Multifunction Device or dedicated scanner. At this point, Symphony Profiler takes over, reads the cover sheets, and marries the scans to their correct Worldox Profile.

Here's an example of this process in action:

  1. Create Reservations - Using pre-generated Coversheets, users create Profile Reservations in Worldox using the same process they are used to when profiling a document in Word or Adobe - completing all required profile fields, document name, and description.
  2. Insert Cover sheets - as the reservations are made and associated with the coversheets, those cover sheets are used to separate individual documents, prior to beginning the scanning process.
  3. Reservations matched and documents profiled - Symphony Profiler Processor takes over at this point, reading the now-digitized cover sheets and documents and adding the correct profiles to the documents. 

This process saves time and energy on the part of the individual tasked with scanning, as well as potentially preventing unnecessary contact or crowding around the central scanner or other common areas.

However, this isn't limited to MFDs or large centralized scanners; users who have desktop scanners can also benefit from the Symphony Profiler. Cover sheet creation, Worldox Reservations, and an Automatic Feed Scanner are all you need to take advantage of this Symphony of efficiency.

Symphony Profiler can be purchased separately or in combination with the Symphony Suite from Trumpet Software, which also includes their Symphony OCR product.  Trumpet is an industry leader in adding Optical Character Recognition to existing PDFs or image files to allow for full-text indexing within Worldox or other DMS products.
