Supercharge your Email Management with Worldox Advanced Email Agent

As part of the WDU14 release dated 3/4/19, World Software has included a new optional feature for all clients called the Worldox Email Agent. This new email management tool offers users more email processing capabilities than ever before. Here are some highlights:

Process new user-defined Worldox linked folders:

The email agent provides users with the ability to selectively link their existing or newly created Outlook folders directly to a matter in Worldox. Once a folder has been linked to Worldox any emails already in that folder or added to that folder later will automatically be copied or moved to Worldox based on how the linked folder is configured.

This also means that once a folder has been linked to Worldox a user can then use any device such as a tablet or phone, that has access to their exchange email, to move or copy emails into linked folders. The emails will be copied or moved to Worldox based on how the linked folder has been configured regardless if Worldox is actually up and running on the user’s computer at that time. This is possible because email processing has been moved to the Exchange level instead of the local workstation level.

For all newly linked folders, you will see a Worldox icon where the folder icon is normally displayed. This allows you to quickly evaluate whether a folder has been linked or not to Worldox.

Add Global Flags to messages already moved or copied:

Each email that is now processed via the Advanced Email Agent will have a category flag placed on the email. This provides a quick visual queue that an email has already been copied to Worldox.

Process messages without the Worldox program running:

Because email processing is happening at the Exchange level, and not on individual workstations, you can move emails to your linked folders from any device such as a phone, tablet, etc., and the email agent will copy or move them to Worldox based on how the linked folder is setup. This no longer requires that you keep Worldox running on your workstation or wait for email to be processed until you return to the office and launch Outlook and Worldox. Email processing happens automatically now in the background regardless of the device you use to save the email.
